Challenge
The founder of Caddies for Kids, a full-time professional also running this growing nonprofit, was managing all operations through spreadsheets. With two active locations in Dulles and Houston and plans to expand further, this manual, spreadsheet-based system was no longer sustainable.
The client needed a scalable solution that could retain the structured separation he had created between caddies, members, and schools, while also allowing for automation and collaboration.
Solution
We built a custom HubSpot solution centered on custom objects, automation, and scalable infrastructure. Key features included:
- Custom Objects to separate and manage Caddies, Members, and Schools, preserving the structure previously maintained in spreadsheets
- Teams and Permission Sets that allow each location to access only its relevant data, making expansion seamless
- Automated Contact Creation via workflows:
- For parents, the system creates a HubSpot contact for each email, associates them with the appropriate caddy record, and labels them as Parent 1 or Parent 2
- For schools, a contact is created for each coach and linked to the correct school object
- For parents, the system creates a HubSpot contact for each email, associates them with the appropriate caddy record, and labels them as Parent 1 or Parent 2
- Zapier Integration to automatically process incoming data from forms
- HubSpot Views to present data in a clear, spreadsheet-like format for easier management
Results
This implementation completely transformed the nonprofit’s operations. What once required manual data entry and cross-checking in spreadsheets now happens automatically. The client can now focus on growth and community impact rather than administrative tasks.
With a scalable structure and role-based access in place, expanding to new locations is a simple matter of creating new teams and assigning the appropriate permissions. The ability to communicate effectively with parents and coaches through automated workflows has added an additional layer of efficiency and professionalism to their outreach.
